Wedding Policies and Procedures
For Use of the Francis Cope House and Grounds Our mission at Awbury Arboretum is to preserve and interpret the historic house and landscape, thereby connecting an urban community with nature and history. While you are a guest at Awbury, please abide by the following policies and procedures to assure that your event is enjoyable, your guests are safe, and that Awbury is preserved and protected for the future enjoyment of others.
______ Event rentals are from 12:30 PM and 7:30 PM with an extra hour for clean-up. ______ For peak season events, the maximum number of guests is 75. For off peak, the maximum is 45. ______ For peak season events, the cost is $2,000. For off peak, the cost is $1,500. ______ Refundable security deposit is $1,000. ______ Acoustic music with no amplification may be played outside. (Awbury’s piano cannot be moved outside.) ______ All amplified music must be contained within the Francis Cope House. ______ Out of respect for Awbury neighbors, music must end by 7:30 PM. ______ Alcohol service must end by 7 PM. ______ Park in designated areas only. Please do not park on the grass in front of the house. ______ Smoking is prohibited at Awbury Arboretum, including inside the buildings, on porches, and around the grounds. ______ The fireplaces are not operational. Candles may be used outdoors as a part of the ceremony (unity candle). Candles used as decoration (tealights, candelabras, etc ) are not allowed. ______ You may use existing hooks for decorations. Nails, screws, staples or tape are not allowed. ______ Propane or gas grills may be used by the caterer (no wood or charcoal grills, please). ______ Rented items (tables, chairs, flowers, linens, etc) are the responsibility of the renter and caterer. delivery and retrieval times should be scheduled with Awbury staff during normal business hours. Upon request, Awbury will provide 50 white folding chairs for use during your event. ______ The caterer is responsible for cleaning up after the event. This includes folding and stacking tables and chairs in designated areas and collection and disposal of all event trash and recycling. ______ Tents are allowed for use on the property and must be coordinated through the caterer. ______ Pets are not invited to the event. ______ A refundable security deposit of $1000 and one-half of the rental fee (non-refundable) are required to reserve the date for your event. The balance of the rental fee (remaining 50%) is due two months prior to the event. _____ In the event of a cancellation after full payment has been received (within 2 months of the wedding), only the $1000 Security deposit will be refunded.
After consultation with Awbury staff, you will be asked to initial each of the above to signify your willingness to abide by our policies and procedures. Violation of any of the above rules may result in the loss of your security deposit and/or early termination of the event. |
